Hayy Makers Assistant

Hayy Jameel, developed and managed by Art Jameel, is Jeddah’s dedicated home for the arts and a creative hub for Saudi Arabia. Designed by award-winning architects waiwai, Hayy draws its name from the Arabic word for neighbourhood, reflecting the complex’s spirit of community, collaboration, and cross-disciplinary exchange. Alongside Hayy Arts (the museum), Hayy Learning, and Hayy Studios, the centre is also home to Hayy Cinema—Saudi Arabia’s first independent audiovisual centre—designed by Jeddah-based architects Bricklab.

Hayy Makers is the latest addition to Hayy Jameel: an innovative space dedicated to empowering and supporting the artistic community by providing a dynamic environment for collaboration, experimentation, and production. It aims to foster artistic expression, skill development, and cultural exchange through state-of-the-art facilities, diverse programming, expert guidance, and a welcoming, inclusive community. The goal is to inspire artists and producers to push creative boundaries, explore new ideas, and share their work with broader audiences—ultimately contributing to the future of art in Saudi Arabia.

Position Overview:

The Hayy Makers Assistant plays a vital role in supporting the day-to-day operations of Hayy Makers, ensuring a welcoming and efficient experience for members and visitors. This role covers front desk reception, member relations, space and equipment bookings, consumables restocking, and assisting with operations. The Hayy Makers Assistant will act as a bridge between members, staff, and the wider Hayy Jameel community, helping maintain the smooth functioning of the Makerspace and upholding a culture of collaboration and care.

Key Responsibilities

Front Desk & Member Relations

  • Act as the first point of contact for members, guests, and visitors to Hayy Makers.
  • Manage the reception area and ensure a friendly, professional, and informative welcome.
  • Respond to enquiries (in person, phone, and email) and direct requests to relevant team members.
  • Support onboarding of new members, including registration, induction booking, and access setup.
  • Maintain up-to-date records of memberships, bookings, and member usage of spaces and tools. 

Operations & Administration

  • Support daily Hayy Makers operations, including scheduling, consumables restocking, and general upkeep.
  • Manage bookings for workspaces, studios, and equipment in coordination with the Hayy Makers team.
  • Track inventory of materials, consumables, and shop items; liaise with suppliers for restocking.
  • Produce monthly, quarterly and yearly reports and support with invoicing and documentation processes in coordination with the Finance team.
  • Contribute to updating operational policies, procedures, and safety documentation. 

Community & Shop Support

  • Assist with setup and logistics for workshops, events, and member activities.
  • Support shop operations, including stocking, sales, and reporting.
  • Help coordinate with the Hayy Jameel Visitor Experience and Retail teams to ensure smooth visitor interactions.
  • Ensure all public and member areas of Hayy Makers remain safe, organised, and presentable.
  • Collect member and visitor feedback through surveys to support continuous improvement.
  • Support with social media community management, replying to queries, capturing user generated content for posts and stories

Education & Experience

  • At least 2 years of experience in an administrative, front-of-house, or customer service role.
  • Strong organisational and communication skills, with attention to detail.
  • Experience in Design and/or Communications is desirable.
  • Experience working in creative, educational, or cultural environments is preferred.
  • Proficiency in MS Office and/or Google Workspace; experience with CRM or booking systems is a plus.
  • Fluency in English and Arabic is preferred. 

Knowledge, Skills & Abilities

  • Excellent interpersonal skills and a welcoming demeanour.
  • Ability to multitask and handle a variety of administrative and member-facing duties.
  • Strong time management, organisation, and problem-solving abilities.
  • Basic knowledge of creative tools, materials, or workshop environments is an advantage.
  • Comfortable working in a dynamic, collaborative, and community-driven environment.

Conditions of Work

  • This is a full-time position based in Jeddah, KSA.
  • Evening and weekend work is required to support events and programmes.
