Job description

Hayy Jameel, Art Jameel’s flagship project in Saudi Arabia, launched in December 2021 as a dynamic, 17,000-square-meter, multidisciplinary arts hub and quickly became known as Jeddah’s home for the arts. Hayy is home to several Art Jameel-run spaces, including Saudi Arabia’s first arthouse cinema, artist studios, a leading exhibitions venue and upcoming maker spaces.

Art Jameel is looking for an Events Assistant to support in the delivery of its dynamic year-long public programming and events aimed to broaden cultural experiences of audiences of all ages as well as promote access to the arts, wellbeing and social connections at Hayy Jameel. The role is best suited for a detail-oriented individual with familiarity and good connections to the creative scene in Saudi Arabia, and previous experience working in a similar role supporting community driven events and programmes. This role is based in Hayy Jameel, Jeddah.

Accountability

The Events Assistant reports to the Public Programmes Manager.

Responsibilities and Duties

General

  • Act as the focal point for community event enquiries and ensure event updates are reflected on the Hayy Jameel website
  • Directly manage relationships and communication with suppliers and participants in the lead up to, during and post events – including caterers, furniture providers, vendors, participants, workshop facilitators, panel speakers among others
  • Handle administrative processing of event and/or programme participants and prepare payments and agreements in a timely manner and in accordance with Art Jameel’s financial procedures
  • Assist in production aspects and set-up of events in coordination with the Operations and Visitor Experience teams to complete mapping, furniture allocations and wayfinding etc
  • Prepare registration forms and support with content writing (including translation) for upcoming public programmes and events, ensuring all published information is accurate and up to date for promotion and outreach
  • On-ground support and presence pre- and during events to oversee delivery and support participants and collaborators as needed
  • Contribute to the development of the post-event evaluation processes, such as surveys and debriefs to address and troubleshoot any issues, highlight successes and identify areas for improvement for future events and programmes
  • Support Public Programmes team with wider research tasks for future opportunities, in line with the events calendar in Saudi Arabia and Gulf region
  • Other duties as management deem fit

Candidate specifications

  • Educated to at least an Undergraduate level in Arts and Humanities or relevant field
  • A minimum of 2 years’ relevant work experience in events and/or creative industries
  • Genuine interest and/or passion for arts and culture, community building and public engagement
  • Excellent interpersonal skills to foster and maintain relationships with the creative community and deal with a range of external providers, partners and clients etc
  • Good project management skills
  • A positive, can-do and solution-oriented attitude
  • Excellent time management, organisational and communication (verbal and written) skills
  • Keen attention to detail
  • Ability to prioritise and work on multiple concurrent tasks as both a team player and independently
  • English and Arabic fluency
  • Good IT skills and proficiency in Google and Microsoft Office applications
  • Must be able to work in a team environment
  • Saudi Nationals or Saudi residency holders

Conditions of Work

  • This is a full-time position based in Jeddah, KSA, with occasional travel to Dubai, United Arab Emirates, and elsewhere
  • All members of the Art Jameel team take shifts on the Welcome Desk (at least 1 day every 2-3 weeks)
  • Flexible approach to work is required – occasional weekend and evening work according to the events calendar and needs
