Operation & Facilities Coordinator

Hayy Jameel developed and managed by Art Jameel as Jeddah’s dedicated home for the arts and creative hub for Saudi Arabia. Designed by award-winning architects waiwai, Hayy references an Arabic word for neighbourhood, denoting the convivial and collaborative nature of the complex and its intent on bringing together a wide range of creative disciplines in one destination. Alongside the museum Hayy Arts, Hayy Learning and Hayy Studios is Hayy Cinema, Saudi’s first independent audiovisual centre, designed by Jeddah-based architects Bricklab.

Job Description

The Operation and Facility Coordinator role at Hayy Jameel Center primarily focuses on supporting daily operations and facility management. Responsibilities include overseeing and organizing all operational and facility requirements for tenants and the Art Jameel team. This involves managing various activities such as cinema operations, public programs, venue hires, exhibitions, etc. The overarching objective of this role is to streamline task coordination effectively to guarantee the smooth and efficient operation of the facility.

Role & Responsibilities

  • Coordinate and monitor the facilities management team to ensure smooth operation of the center.
  • Provide technical support and advice to the Art Jameel team during the planning and execution of projects, programs, or activities.
  • Assess and supervise the maintenance schedule to confirm the completion of all scheduled maintenance tasks.
  • Coordinate with vendors and contractors in terms of project negotiation and execution.
  • Receive and process permit applications (work permit & delivery permit)
  • Maintain inventory of supplies, equipment, and tools needed for facility operations
  • Review monthly reports and attendance submitted by the facility management team.
  • Manage and update records, files, and databases related to facility operations.
  • Prepare the cash expense claim report and submit it to the finance team.
  • Assist the operation & facility manager in contract management and renewals.
  • Prepare reports, presentations, and documentation for facility operations.
  • Support in implementing safety protocols, procedures, and emergency preparedness plans.
  • Draft and distribute memos, announcements, and other communications.
  • Coordinate responses to inquiries and requests in a timely and professional manner.

Qualifications and Skills

  • Previous experience in facilities management & operations, with a degree in mechanical/ electrical/ civil engineering or any related fields
  • Strong analytical and problem-solving skills
  • Knowledgeable in facilities maintenance, both preventive and planned
  • Proficiency in MS Office applications and office management software.
  • Knowledgeable in contract management & procurement process
  • Excellent communication and interpersonal abilities.
  • Attention to detail and ability to multitask in a fast-paced environment.
  • Basic knowledge of safety practices and procedures.

Accountability

Reports to the operation & facility manager

Conditions of Work

  • This is a full-time position based in Jeddah, KSA, with occasional travel to Dubai, United Arab Emirates
  • Occasional weekend and evening work according to events and programs is as required
