Venue Hire Assistant

Hayy Jameel developed and managed by Art Jameel as Jeddah’s dedicated home for the arts and creative hub for Saudi Arabia. Designed by award-winning architects waiwai, Hayy references an Arabic word for neighbourhood, denoting the convivial and collaborative nature of the complex and its intent on bringing together a wide range of creative disciplines in one destination. Alongside the museum Hayy Arts, Hayy Learning and Hayy Studios is Hayy Cinema, Saudi’s first independent audiovisual centre, designed by Jeddah-based architects Bricklab.

As a member of Art Jameel’s core staff, this position will assist with planning and executing third party events in Hayy Jameel’s facilities in accordance with requests for venue rental.

Along with the team, this role will oversee the booking process for venue hire and the execution of events at Hayy Jameel Spaces. This will involve helping clients plan their events, handling venue bookings, keeping track of bookings, and making sure the venue is kept in good condition. The chosen applicant will work in Hayy Jameel’s Partnerships & Business Development (or Venue Hire) department in Jeddah, where the role is located.

Responsibilities and Duties:

  • provide top-notch customer support to anyone wishing to rent the space for events.
  • As the operations team’s point of contact before, during, and after events, coordinate to supervise event setup. monitoring the cleaning, upkeep, and necessary repairs to make sure the space is in good condition and prepared for events.
  • Managing events, working with clients to confirm details, keeping track of bookings, follow up on payments, creating invoices, and handling venue-related correspondence are all part of managing bookings for the venue.
  • Helping with marketing and promotion initiatives to draw customers and boost venue reservations. Such as making promotional materials, advertising the location on social media, and/or going to networking gatherings to meet possible customers.
  • Working closely with other staff members, such as the senior manager, and the operation team, to ensure smooth operations and a positive client experience.
  • Addressing any issues or concerns that arise before, during, or after events, with the senior manager and working together to identify solutions that will guarantee client pleasure.
  • Introducing potential customers to the venue’s features, services, and amenities. This could be either giving facility tours or through online meetings.
  • Keeping up with market demand for event spaces, rival services, and industry developments. In order to find growth and development prospects, market research must be done. Recommendations for pricing policies, advertising campaigns, and service improvements must also be made.

Administration:

  • Handle administration­‐related tasks for third-party events
  • Keep an orderly and up-to-date filing system, including regularly updating the calendar and Google drive
  • Prepare quotations and contracts when applicable  
  • Welcome desk duties at Hayy Jameel 
  • Perform other duties as assigned

Qualifications and Experience:

  • Educated to degree level 
  • At least 1-2 years experience in event management
  • A natural leader with an entrepreneurial mindset and proactive in taking initiative
  • Strong communication (verbal and written) skills and a positive and welcoming attitude
  • Excellent time management and organization skills
  • Knowledge of technological communication and website familiarity
  • Microsoft Office Suite proficiency
  • Passion for the arts and arts education
  • Fluent in English and Arabic (spoken and written)

Due to the nature of the work, please note some occasional work during the weekends and/or evenings will be required for this role and candidates should be willing to work flexibly.
